Zapier Talent Team Uses AI Agent to Cut Interview Prep Time by Two-Thirds

AI Agent Automates Final-Stage Interview Prep

Zapier's talent team has automated the interview preparation process using an AI agent that connects four tools and reduces prep time by approximately 67 percent. The workflow triggers automatically when a candidate reaches the final interview stage, assembling tailored briefing materials without manual intervention.

The system connects Ashby (an applicant tracking system), BrightHire (interview recording software), Google Docs, and Slack. When Ashby detects a candidate advancing to final interviews, the agent retrieves all previous interview transcripts from BrightHire, identifies gaps in the evaluation process, and generates a customized prep document. The finished packet arrives in Slack before hiring managers need to request it.

Zapier shared a template for the workflow on LinkedIn, allowing other companies to replicate the system.

How the Workflow Operates

The automation follows a four-step sequence. First, Ashby fires a trigger when a candidate's status changes to final interview stage. The AI agent then queries BrightHire's API to pull every recorded interview transcript for that candidate, creating a complete archive of previous conversations and assessments.

Next, the agent analyzes the transcripts using natural language processing to identify evaluation gaps. This might include technical skills that weren't fully tested, soft skills that need deeper exploration, or concerns raised by earlier interviewers that require follow-up. The agent then writes a structured prep document in Google Docs that includes:

  • Summary of candidate strengths from previous rounds
  • Specific areas requiring additional probing
  • Suggested questions tailored to the role and gaps identified
  • Context from earlier interviewer feedback

Finally, the agent posts a link to the completed document in a designated Slack channel, notifying the interview panel that materials are ready for review.

Why This Matters for Hiring Teams

Interview preparation typically requires HR coordinators or hiring managers to manually review candidate files, schedule prep meetings, and compile notes. This process can take several hours per candidate, particularly for senior roles with multiple interview rounds. Automating it frees up time for higher-value activities like candidate engagement and strategic hiring planning.

The approach also standardizes quality. Every interviewer receives the same comprehensive brief, reducing variability in how prepared different team members are. According to Zapier's post, executives reported feeling more prepared than with previous manual processes.

This workflow builds on Zapier's recent emphasis on AI-powered automation. The company recently launched Zapier Copilot, which helps non-technical users build AI agents in approximately 15 minutes, and Zapier MCP, which enables AI tools to access thousands of app integrations without custom API work.

The template is available now through Zapier's workflow library. Teams will need active subscriptions to Ashby, BrightHire, and Zapier to implement the full system, though the core logic could be adapted to other applicant tracking and interview recording platforms.

Tanya Van Gastel presents the APEX framework for making products discoverable in AI-powered search engines like ChatGPT and Google's AI Overviews. She explains how AI is fundamentally changing product discovery and buyer behavior, then breaks down five critical components: Authority (being cited as a solution), Presence (visibility across search platforms), Expertise (creating high-quality money pages), Endorsements (off-site validation), and Extractability (making content easy for AI to process). The talk emphasizes quality over quantity, with data showing 50% of SaaS SEO revenue comes from fewer than 10 high-performing pages.
