Zapier has released Guided Templates, a feature that addresses a longstanding pain point for operations teams: how to share automations with colleagues without risking accidental edits that break critical workflows.
The feature, announced on LinkedIn in late May, lets users convert existing Zaps into locked, step-by-step configuration wizards. Creators can restrict which fields others may edit, mark required inputs, and add help text at each step. The result is a self-serve template that other teams can use without accidentally overwriting routing logic, API credentials, or conditional branching rules.
How Guided Templates Work
The workflow is straightforward. An operations or automation builder takes a Zap they have already built and tested, then converts it into a guided template. During setup, they lock fields that should never change, such as webhook URLs, database connections, or filter conditions. They then designate which fields end users should customize, such as Slack channel names, email recipients, or tag values.
For each configurable field, creators can add inline help text explaining what the field does and how to fill it out correctly. When a team member uses the template, they see only the unlocked fields and follow a step-by-step wizard to configure their version of the Zap.

This approach eliminates the need for Loom videos, documentation wikis, or repeated Slack threads explaining how to use a shared Zap without breaking it. It also reduces the volume of IT tickets from teams requesting access to automations they could safely configure themselves if given the right guardrails.
The Governance Problem Guided Templates Solves
The challenge Zapier is addressing is familiar to anyone managing automations at scale. Operations teams build sophisticated workflows that integrate CRMs, marketing platforms, support tools, and internal databases. These Zaps often include complex logic: multi-step conditional branches, custom code, API calls, and data transformations.
When other teams need similar automations, the default options are both problematic. Granting full edit access risks accidental changes that break the workflow for everyone. Denying access creates bottlenecks, with ops teams fielding requests to duplicate or modify Zaps for each new use case.
Guided Templates splits the difference. The original Zap remains intact and controlled by its creator. Users can generate their own configured instances without touching the underlying logic. If a team member misconfigures their version, it affects only their workflow, not the source template or other users' instances.
Zapier has been expanding its enterprise and team collaboration features over the past year. The company recently added Gemini 3.5 Flash for handling long, rule-heavy automations, and has released several updates focused on AI-powered workflow building, including Zapier Copilot, which helps non-technical users build AI agents in minutes.
Availability and Access
Guided Templates is available now to Zapier users. The feature is included in team and enterprise plans. Users can convert any existing Zap into a guided template from the Zap editor.
For operations teams managing shared automations across marketing, sales, support, or product teams, Guided Templates offers a way to democratize access without sacrificing governance. It reduces the support burden on automation builders while giving other teams the self-serve flexibility they need to move quickly.
